Privacy Notice.
This notice explains what personal information WESTEVO collects, why it is needed, how long it is kept and the choices and rights available to you.
Who is responsible for your information?
Harlan West trading as WESTEVO is the data controller. This means Harlan West decides why and how personal information is used for WESTEVO's website, enquiries, quotations and exterior-cleaning services.

This notice applies when you visit the WESTEVO website, make an enquiry, request a quotation, become a customer, act for a business or property, supply services to WESTEVO, or otherwise communicate with the business.
What personal information may be collected?
Identity and contact details
Your name, email address, telephone number, postal address and the organisation or property you represent.
Enquiry and service details
The site location, surfaces or areas involved, access and timing information, messages, quotations and work requested.
Photographs and site records
Images you send and photographs reasonably created to assess, plan, document or evidence work, which may incidentally show people, properties or vehicle registrations.
Customer and account records
Service history, contracts, invoices, amounts due or paid and related correspondence. WESTEVO does not ask for full payment-card details through its quotation form.
Website and device information
Information made available through necessary cookies and, only where permitted, optional analytics such as browser, device, approximate location and visit activity.
Complaints, rights and safety
Information needed to investigate a complaint, answer a data-rights request, manage an incident, establish legal claims or protect people and property.
Please do not send health information, identification documents or other sensitive information unless WESTEVO has specifically explained why it is necessary. Any unnecessary sensitive information received will be handled carefully and deleted when it is no longer required.
Where does the information come from?
- Directly from you through the website form, email, telephone, in person, or during a site visit.
- From a person or organisation acting for a property or site, such as an owner, tenant, employer, property manager, landlord or referral contact.
- From records created while assessing, quoting for or carrying out requested work.
- From limited public sources where reasonably needed to verify a business contact, property location or site information.
- From Squarespace and consented website analytics about use of the website.
If another person gives WESTEVO your details, this notice will normally be provided within one month, or earlier when WESTEVO first contacts you or first discloses the information, unless a lawful exception applies.

To understand your request, communicate with you, assess suitability and prepare or discuss a quotation.

Consent or another permitted basisWESTEVO's legitimate interests are to operate a safe, secure and accountable exterior-cleaning business, respond to genuine enquiries, maintain service records, improve its customer experience and protect its legal position. These interests are considered against your rights and reasonable expectations.
Information marked as required on the enquiry form is needed to assess and respond to your request. If it is not provided, WESTEVO may be unable to quote for or provide the requested service.
International data transfers
Some technology providers may store or process information outside the UK. Where this happens, WESTEVO requires an appropriate legal safeguard, such as UK adequacy regulations or approved contractual protections, and reviews the relevant provider terms. The processor documents linked above explain their current transfer arrangements and how to request further information.
How long is information kept?
WESTEVO keeps personal information only for as long as it is reasonably needed for the purpose collected, including legal, accounting, safety and dispute needs. The working retention schedule is:
Enquiries that do not become jobs
Up to 24 months after the last meaningful contact, then securely deleted or anonymised unless a complaint, dispute or legal issue requires longer.
Customer, quotation and job records
Normally 6 years after the job is completed or the customer relationship ends, including job-evidence photographs where they remain relevant.
Tax and accounting records
At least 5 years after the 31 January Self Assessment submission deadline for the relevant tax year, and longer where HMRC rules or an open enquiry require it.
Complaints, claims and incidents
Normally 6 years after closure. Data-rights and data-protection complaint records are normally kept for 3 years after closure.
Supplier and business contacts
For the active relationship and normally up to 6 years afterwards where the record relates to a contract, payment, warranty, dispute or legal obligation.
Marketing permissions
Until consent is withdrawn or the permission is no longer relied on. A minimal suppression record may be retained so a do-not-contact request continues to be respected.
Cookies and website analytics
Cookie duration depends on its function and is shown in Squarespace's current cookie information. WESTEVO does not keep a separate indefinite export of visitor-level analytics.
Records may be kept for longer where law, an insurer, a regulator, a court, an unresolved complaint or the establishment or defence of a legal claim reasonably requires it. Duplicate copies in email, Squarespace and Google Workspace follow the same underlying retention decision.
How is information protected?
WESTEVO uses proportionate technical and organisational safeguards, including restricted access, individual account controls, multi-factor authentication where available, secure provider services, maintained devices, confidentiality expectations, data minimisation and secure disposal. Access is limited to people who need information for an authorised business purpose.
No internet or storage system is completely risk free. If a personal-data breach occurs, WESTEVO will contain, assess and document it, notify the ICO within the required period where the legal threshold is met, and inform affected people without undue delay where there is a high risk to them.
Your data-protection rights
Depending on the circumstances and lawful basis, you may have the right to:
- ask for access to your personal information and information about how it is used;
- ask for inaccurate or incomplete information to be corrected;
- ask for information to be erased in certain circumstances;
- ask for use of the information to be restricted in certain circumstances;
- receive information you provided in a portable format where the legal conditions apply;
- withdraw consent at any time where consent is the basis for processing; and
- ask for human intervention if a solely automated decision with legal or similarly significant effects were ever introduced.
Your right to object: you may object to processing based on WESTEVO's legitimate interests. You can object to direct marketing at any time, and WESTEVO will stop using your information for that purpose.
Rights are not absolute and a legal exception may apply. To make a request, email hello@westevo.co.uk. WESTEVO may ask for information reasonably needed to confirm identity and will respond without undue delay and normally within one calendar month. Where the law permits more time because a request is complex or numerous, you will be told within the first month and given the reason for the extension.
Data-protection complaints
If you believe WESTEVO has not handled your information properly, email hello@westevo.co.uk with the subject Data protection complaint. Include what happened, what information is involved and what outcome you are seeking.
WESTEVO will acknowledge a data-protection complaint within 30 days, investigate it without undue delay, keep you appropriately informed and communicate the outcome without unjustifiable delay.
You also have the right to complain to the Information Commissioner's Office. The ICO will normally expect you to raise the matter with WESTEVO first. Visit the ICO complaints service or telephone 0303 123 1113.
Automated decisions and changes
WESTEVO does not currently use personal information to make solely automated decisions that have legal or similarly significant effects, and does not carry out automated profiling for quotation decisions.
This notice will be reviewed at least annually and sooner if WESTEVO changes its services, suppliers, marketing or data practices. Material changes will be made clear on this page. The next scheduled review is 31 August 2027.
